This Privacy Policy explains how Sysgem Technology Inc. (“Sysgem”, “we”, “us”), an IT consulting and talent-augmentation business based in Ontario, Canada, handles personal information collected through this website (sysgem.ca).

We are committed to protecting your privacy and to handling personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy law.

What personal information we collect

We collect only the information you choose to give us and a limited amount of technical information needed to run the site:

• Contact form: your name, email address, and the contents of the message you send us.
• Assessment request form: your email address, submitted when you request a technology & AI readiness assessment.
• AI chat assistant: the messages you type into the chat widget. Please do not enter sensitive personal information into the chat.
• Technical/website logs: when you visit the site, our hosting provider automatically records standard information such as your IP address, browser type, pages requested, and timestamps. This is used to operate and secure the site.

Cookies and analytics

This website does not use analytics, advertising, or social media tracking tools (for example, Google Analytics, Google Tag Manager, the Meta/Facebook Pixel, or the LinkedIn Insight Tag), and it does not set advertising or analytics cookies. Web fonts are served from our own domain, so no data is shared with a font provider when the site loads. If we add analytics or similar tracking in the future, we will update this policy and, where required, ask for your consent.

Why we collect it and how we use it

• To respond to your inquiry or assessment request and to follow up with you about a possible engagement.
• To provide answers through the AI chat assistant.
• To operate, maintain, secure, and improve the website.
• To comply with legal and regulatory obligations.

Marketing: we do not add people who use the contact form or the assessment form to a newsletter or marketing list. We will only contact you about the matter you raised. If we introduce a marketing or newsletter list in the future, joining it will be a separate, clearly-labelled, opt-in choice (consistent with Canada’s Anti-Spam Legislation, CASL).

Who we share it with

We do not sell or rent personal information. We share it only with service providers who help us operate the website and respond to you, and only to the extent they need it for that purpose:

• Resend — email delivery provider that transmits form submissions from the website to our inbox.
• Anthropic, accessed through the Vercel AI Gateway — the AI model provider that processes chat-assistant messages in order to generate replies.
• Vercel Inc. — our application hosting and deployment provider, which serves the site and keeps operational server logs. GoDaddy provides domain registration and DNS.

Some of these providers may store or process information outside Canada, including in the United States. When information is handled in another country, it is subject to the laws of that country, including lawful access requests by courts and government authorities there. We may also disclose personal information if required or permitted by law.

How long we keep it

• Contact and assessment submissions and related correspondence: kept for as long as needed to deal with your inquiry and any resulting business relationship, and then for up to 24 months after our last contact with you, after which they are deleted.
• AI chat messages: processed to generate a reply and not stored by us beyond the active session.
• Website/server logs: retained by our hosting provider for a short period for security and troubleshooting.

PIPEDA compliance

Sysgem Technology Inc. complies with PIPEDA. In practice this means we identify why we collect personal information, collect only what we need, use and disclose it only for the purposes identified here (or as permitted by law), keep it reasonably accurate and secure, retain it only as long as necessary, and give you access to the personal information we hold about you on request.

Your rights: access and correction

You may ask us what personal information we hold about you, ask for a copy of it, ask us to correct it if it is inaccurate, or ask us to delete it where we are not required to keep it. To make a request, contact us using the details below. We will respond within a reasonable time and, in any event, within the timeframe required by PIPEDA (generally 30 days). We may need to verify your identity before acting on a request.

If you are not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada.

How we protect personal information

We use reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, but we work to keep our safeguards appropriate to the sensitivity of the information.

Children

This website is intended for businesses and is not directed to children. We do not knowingly collect personal information from children.
